National trade association seeks a detail-oriented professional to provide executive support to the President/CEO and Executive Vice President, and provide
administrative support to the rest of their fast-paced office.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs. The ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision making ability and attention to detail are equally important.
The work
As a key player on the staff, this employee will use judgment and logic to anticipate the needs of the executive staff and perform in a manner that demonstrates the highest levels of professionalism, quality, accountability, and teamwork.
In addition to serving as scheduler for the President and EVP, he/she will be responsible for managing the shared office calendar of 16 employees. He/she will arrange and schedule detailed meetings and conference calls; ensure appropriate follow-up; and use professional judgment to address calendar conflicts as they arise.
He/she will review and proofread correspondence requiring the president’s or EVP’s signature, handle confidential data, and interact with high-level executives from our member companies on a daily basis.
He/she will answer and screen telephone calls, giving appropriate and accurate information to callers whenever possible.
He/she will prepare, in draft or final form, correspondence, reports, letters, memoranda and other written materials.
He/she will be organized and quickly tend to necessary filing (electronic and paper files) including confidential financial files.
This position requires attendance in the office during business hours (8:30 a.m. to 5:30 p.m.)

computer skills including proficiency in Microsoft Office (Word, Outlook). Have superior attendance and timeliness. Be a clear and consistent communicator both verbally and in writing. Identify and resolve problems in a timely manner. Demonstrate accuracy and thoroughness. Monitor his/her own work to ensure high quality results. Manage competing demands; quickly adapt to frequent changes, delays or unexpected
events. Be a excellent team player. Communicate with a variety of stakeholders, including staff, members, and government officials with a high level of professionalism. Organize and prioritize his/her own work, coordinate projects, set priorities, meet deadlines and follow-up on assignments with minimal supervision. Rely on experience and judgment to plan and accomplish goals.
Required qualifications
At least 3 years professional experience; excellent writing and editing skills. Attention to detail and commitment to excellence. Ability to work in fast-paced, team environment. Competence with Microsoft Office and Internet-based research.
Preferred qualifications
College education. Experience working at a trade or membership organization preferable.
Knowledge of iMIS, Leadership Libraries.
